Trial expiration and formal service activation
How SaaS trial status affects teachers and students, and how to activate formal service and verify recovery after trial.
Audience: Organization admins · Applies to: SaaS only (private deploy follows contract / license)
Goal: Understand how trial and billing status affect “can start new practice,” and complete acceptance after formal service activation.
Suggested journey: finish the trial walkthrough → (optional) small own data → this page: activate formal service → Formal intake: CSV / API → Branding and domains.
During the trial
- After successful signup you enter trial; use demo teachers/students and quick login for a full loop.
- Confirm plan and payment method before the trial ends.
- Organization admin Home usually shows org status and trial end time (follow the UI).
Status and impact on teachers/students (common)
| Status / case | Typical teacher/student impact | Admin guidance |
|---|---|---|
| Trial in progress | Can practice normally (limited by demo data and policy) | Run assign → practice → Reports; prepare formal roster import |
| Trial expired | Cannot start new speaking / exam sessions; history often still viewable | Activate formal service as below |
| Billing overdue (grace) | May still work, but prompts to pay soon | Clear billing before pause |
| Billing paused | Teachers/students cannot start new practice | Pay or contact platform to restore |
| Contract ended | Cannot start new practice; history still viewable | Renew or export needed data |
| Org cancelled / offline | Practice unavailable | Contact platform to confirm |
Students may also see an org-status banner; copy follows product prompts.
After trial: activate formal service
Before activation, finish the Home trial wrap-up three-step checklist (class → teachers/students → assign dry run)—see Quick demo-data experience. When paying under Plan & usage, the primary button requires the three steps; in emergencies you can Skip checklist and continue (needs second confirm). Skips are written to the org config change log (type “trial three-step checklist skipped”) for skip-rate stats.
- Open Organization admin Home; confirm trial end, three-step progress, and current org status.
- Go to Settings → Plan & usage (or the equivalent Settings route card); review plan tier, usage, and billing / payment notes.
- Follow product prompts for choose plan / pay online, or complete contract activation per commercial agreement (follow UI and email).
- After payment or commercial activation, return to Home and confirm status is usable again (not “trial expired / paused”). After formal service activates, the platform defaults Voice identity related capability (policy default + capability pack); trial still does not force student voice verification.
- Dry-run with teacher and student accounts: teacher can publish tasks; student can enter practice from to-dos.
If the UI has no self-serve payment entry, contact platform sales to activate; this page does not replace contract terms.
Organization admins can review “trial three-step checklist skipped” entries under Settings → Logs (config change log). How the platform aggregates skip rate: Trial activation funnel (platform). Academic admin accounts have no funnel dashboard.
Where in the UI
| Entry | Use |
|---|---|
| Home | Org status, trial end, three-step checklist summary |
| Settings → Plan & usage | Plan, usage, and billing detail (follow the UI) |
| Settings → Logs | Per-entry skip audit (config change log) |
Note: Plan & usage lives under the Organization admin Settings Hub—not personal preferences, and not academic admin main nav.
