Manage team: add academic admin
How Organization admins create academic admins (class admins) via Manage team and authorize classes.
Audience: Organization admin · Applies to: SaaS / private
Goal: When several people need to manage classes, create an academic admin and assign manageable classes.
When you need it
Academic admin is not required. It fits when:
- One org has several academic staff who should own different classes
- Organization admin should focus on contracts, policy, branding, and plan—leave class ops to academic admins
If you do not need it, Organization admin can create classes and maintain the directory alone—see Classes and teachers.
Some older copy may still say “class admin”—that means the same role as academic admin.
Preconditions
- Signed in as Organization admin (App login → Organization).
- Preferably at least one class exists for authorization (you can create classes first, then return).
Where in the UI
Organization console → main nav Settings → Organization & intake (or the Manage team route card on Settings) → Manage team.
Only Organization admin can open and change Manage team; academic admins do not see this entry.
Steps
- Open Manage team.
- Click Add admin (or “Add class admin”).
- Enter email, display name, initial password (they may need to change password on first login).
- Choose a feature template (e.g. class ops read-write / class read-only—UI wins).
- Check manageable classes (authorization scope); for all classes, use the org-wide option if the UI offers it.
- Save. Tell them how to sign in: App login → Organization, with that email and password.
Edit, disable, and re-enable from the same place.
What does list Enter do?
Row action Enter on Manage team: Organization admin temporarily switches into that academic-admin identity in the admin console (to accept their menu and scope). Then use top-bar Exit identity to return.
This is different from Enter on teacher/student rows under the org directory (demo into teacher/student workspaces). Here you enter the academic-admin shell (Home / Messages / Classes / Reports / Me)—not teacher or student apps.
What academic admins can do after login
Subject to UI and authorization, typically:
- Main nav: Home / Messages / Classes / Reports / Me (desktop left rail = mobile bottom tabs)
- Within authorized classes: create / maintain classes and members, view related directory
- Messages with teachers and students
- Close class: choose Continue learning or Leave school for each enrolled student (see Classes and teachers); entry under Classes or Reports → Class
- View Reports in scope (three tabs: Class | Export / sheets | Trends / curves—see Org & academic: Reports)
- Create / copy classes (read-write template; new classes auto-include their authorization)
- Me → Settings: personal appearance, language, Notifications, and notification retention (no org-level policy / plan)
What they cannot do
- Change org practice policy, branding, domain, plan & billing
- Open Manage team to create other admins
- Archive classes (Organization admin only)
- See or act on unauthorized class data
- Open platform trial activation funnel and similar ops dashboards
- Org-wide data export / cleanup (Organization admin only)

How to confirm success
- New member appears on Manage team as enabled.
- They sign in as Organization and see five main-nav items (unlike Organization admin's four: Home / Messages / Settings / Me), and only authorized classes.
- List Enter can quickly check the same view.
- Within authorized classes they can form classes, close class ops, or message teachers/students (per template).
Common failures
