Class establishment and authorized teachers
Create/copy classes, teachers and students in "Organization & intake" or "Class" in academic admin, and complete class division; including closing classes and student disposal.
Audience: Organization admins (academic admins are also allowed within the scope of authorization) · Applies to: SaaS / private
Goal: Create a class and allow the teacher to see the class and assign tasks after logging in; correctly close the class when the class needs to be ended.
When multiple people need to be in charge of different classes, the institutional administrator should add an academic admin (optional) in Manage team, and then the other party can create classes and maintain members within the scope of authorization.
Preconditions
- Able to log in to the institution admin console (Organization admin, or academic administrator authorized by the class) as institution.
- If you want to create files in batches, prepare CSV first (see Import Teachers and Students).
- Import (CSV), Practice Policies, Brands and Packages, Archived Classes Only available to Organization admins.
- Create a new class/Copy a class from a selection: Both institutional administrators and academic admins (read and write templates, within the scope of authorization) can do this; classes created by the academic admin will automatically be included in their authorization. The creation and copying of teacher and student directories are subject to UI permissions.
Where is the UI?
Select "Organization" on the App login page → enter organization management.
The main navigation of Organization admin is Home / Messages / Settings / Me (left column of desktop = bottom column of mobile phone). The directory and operation and maintenance entry point are both in Settings:
| Entry point (set) | Purpose |
|---|---|
| Organization & intake | Class/Teacher/Student Directory, Manage team |
| Plan & usage | Trial activation, packages and bills |
| Import | CSV import/export with batch logs (not class directory) |
| Log | Configuration changes, system errors, login events |
| Advanced Settings | Brand, Domain Name, Email |
| Speaking & exams | Practice Policy/Language Packs, etc. |
The main navigation of academic admin is Homepage/Message/Class/Report/My; manual creation of classes and members is mostly done in Class (or Homepage shortcut, Report → Class), and the list only includes authorized classes. Batch import still requires the Organization administrator to go to Settings → Import.
For a description of the Institutional/academic admin Report page, see Institutional and academic admin: Reports.
Steps (new UI)
Suitable for trial, pilot or individual supplementary enrollment.
- Organization admin: Settings → Organization & intake → Class/Teacher/Student, click "New" on the toolbar.
- academic admin: Class (or Report → Class) → "New".
- Log in to the institution admin console (if there are multiple institutions, select the target institution first).
- Class → New: Fill in the name and class code (it is recommended to be consistent with the educational system or CSV template, do not mix them when case-sensitive); you can fill in the language level according to the UI.
- Teacher/Student → Create New: Fill in your name, email address, initial password, etc. (the password must meet the number of digits and complexity prompted by the UI).
- Add teachers and students to the class among the class members (or complete the class division method provided by the UI).
- Ask the teacher to log in as "Teacher" and confirm that the class can be seen on the Class page of the teacher's side.
The source of manual file creation is manual, and generally does not write the external ID that can be used for integration; in the future, CSV/API will not overwrite this article based on the external primary key. See UI prompts for details.
When trying out the demo, you can click "Enter" in the teacher/student list to directly experience the teacher-student side. See Quick Experience of Demonstration Data.
Steps (copied from selected)
Suitable for "multiple classes with the same structure" or "opening another account of the same type": first check exactly 1, then click "Copy from selected" (you can also click "Copy" within the row). When there are no items checked or multiple items checked, the UI will prompt you to select one item first. Both institutional administrators and academic admins (within the scope of authorization) can copy classes.
- The system pre-fills non-identity fields (such as language level, some file fields).
- Identity information must be rewritten: the new class must have a new class code and name; the new teacher/student must have a new email, name, initial password.
- Copy Boundary (Important):
- Copy Class → Get Blank Class Skeleton, will not bring in the teachers and students of the original class.
- Copy teacher/student → By default, the existing class membership of the source account will be brought along (if the UI allows changing classes, the saved result shall prevail).
- After copying the class, add teachers and students to the members (or copy existing teachers and students and confirm the class placement).
Close class (continue learning / leave school)
Please use Close to end the daily shift, and do not mix it with the Archive of the Organization administrator.
- Entry point: Class List line operation "Close"; academic admin can also close open classes in Report → Class Status.
- Who can operate: Organization admin; Academic administrator (read-write template, within the scope of authorization).
- Only classes that are active can be closed; after closing, the class status changes to closed (the UI often displays "closed").
Before closing, each enrolled student must choose a disposition:
| Disposal | Meaning (depending on the product) |
|---|---|
| Continue learning | You can still log in, but generally you cannot practice anymore; the relationship between the roster and the class is retained |
| Leaving School | Close student account (cannot log in) |
You can set the batch default first and then apply it to all, and then fine-tune it per person; you can optionally fill in the reason for closing. Execute shutdown after confirmation.
Steps (batch)
Recommended order:
- First import/create Class
- Then import Teacher, Student
- Finally import the Class Member relationship
The entry point is Settings → Import; see First Import for details. When there are few people, there is no need to upload CSV first. Use the above method to create/copy first.
How to confirm success
- There is the target class in the class list, and the number of members is as expected (institutional administrator is in Organization & intake; academic admin is in Class).
- After logging in, the teacher can select the class and assign speaking tasks (including select courses from textbooks).
- After students log in, they can see the to-do task after the teacher releases the task.
- After closing: the class is closed; "continue learning" students can still log in, and "leaving school" students cannot log in.
Common failures
| Issue | Resolution |
|---|---|
| The teacher cannot see the class | The membership is not bound or the teacher account is not active |
| Class code conflict | Change code; not to be confused with "close" - close at the end of daily classes, archiving is only for Organization admins |
| The student has an account but is not in the class | Make up a class member or tutor a class member CSV |
| "Copy from selected" is not available | Check exactly 1 item first; confirm that the current role has directory write permissions |
| There are no students after copying the class | Expected behavior - the copied class has no members, please add others |
| Closing reports that a student outcome is missing | Select Continue studying or Leave school for each student |
| After the new class is created, the new class cannot be seen in the list | Refresh the list; the product will automatically authorize the new class, if still not, contact the Organization admin to check the authorization |
| Teachers cannot see "Select Courses from Teaching Materials" | The institution has not authorized the textbooks - check the activation status in the relevant "About Platform/Spoken Teaching Materials" portal, and contact the platform/super admin (this article does not talk about production and uploading) |
| Cannot find the "Data" first-level menu | Normal: Organization admin enters from Settings → Organization and Data; use the main navigation for academic admin Class |
